How to plan a dinner with friends that does not get postponed

Dinner is the easiest plan to say yes to and the easiest to postpone, because there is always a better week coming. The way out is to fix the night first and let the details follow.

The night first, the place second

Most dinners die while the group argues about where to eat. Pick the night, ask people to say if they are in, and choose the restaurant once you know the number. A booking for five is easy. Finding five people for a booking is not.

Four is the number that works

Four people fit around one table and one conversation. Six still works. Above eight you are running an event, and the quiet people stop talking. Set the minimum at three or four and the maximum at six, and dinner stays a dinner.

At home costs less and lasts longer

Eating in means no closing time and no bill to split. Cook one thing together, ask everyone to bring one part of it, and keep the list in the hangout chat so nobody brings three bottles of wine and no bread.

If you are the one hosting, say what you are providing. People are happy to bring something, they just need to know what is missing, and the guessing is what makes hosting feel like work.

Give people a way out that is not a cancellation

Somebody will not make it. That is fine when their place goes back to the group instead of staying empty: the table is booked for the number that is really coming, and the next person in line gets in.

The same goes for the end of the evening. Say up front that the plan is dinner, and that anything after it is optional. People who have to be up early will come to a dinner and will not come to an open ended night.

How far ahead should you plan a dinner?

About a week for a group of four to six. Long enough that people can move things, short enough that they still know what their week looks like.

What if two people cancel?

Set a minimum. If the number falls below it before the deadline, everyone is told at once and the table is freed, instead of two people sitting there wondering.
